There are many ways to help at the Convention. Please feel free to volunteer for a specific role or indicate your willingness to help wherever needed.
Education Room Host: The Education Room Hosts help the education presenters have a successful session. Responsibilities include:
- Arrive 15 minutes early so you can meet the presenter and greet attendees; help attendees find seats as the room begins to fill.
- Introduce the education session speaker with their introduction.
- Time the speaker and signaling agreed upon cues to let him/her know time is ending.
- Hand out and collect evaluation forms.
- Thank the speaker and present thank you gift bag and/or certificate of appreciation.
Education Room Hosts will be needed on Friday afternoon for Wayne Breitbarth (be available 3:45 – 5) and at the education sessions on Saturday (be available 9:45 – 11, 10:45 – 12, or 2:25 – 4:15. Note the afternoon session coincides with the District Council meeting). We will match you to a session that you want to attend.
Registration: If you want to be the first person to greet Toastmasters as they arrive and make them feel welcome and happy that they have come to the event, this is the role for you. Registration will be staffed on Friday afternoon up until the Table Topics Contest, and Saturday morning from 7 am until about noon. Shifts will vary and last 1-2 hours. Volunteer early and choose a shift. Responsibilities include:
- Check in preregistered guests and register walk in guests
- Provide the preprinted name badges and registration materials
- Direct District Council members and proxy holders to Credentials (these will be pre-identified)
- Help people get oriented with the venue and advise them of what events are happening now/soon and where they will take place. Point out locations of restrooms, etc.
- Set a positive first impression and make our guests feel great.

Raffle Ticket Sales: Want to test your sales skills? Help sell raffle tickets during the convention. We’ll need some people walking around during breaks in the program and some people to sell from a table near registration. Shifts will vary and we can accommodate your schedule. We’ll adorn you in a fun hat or headpiece, with a classy sash to make you really stand out. Can you hear the call, “Raffle, raffle, get your raffle tickets here…”
Technology: Are you good at making the computer and projector work together? Can you figure out how to darken a Powerpoint
screen (or get it to project when it isn’t)? Maybe you were in a garage band and know how to run a mixing board. The District Technology Committee needs help with making sure education session presenters are set and ready with their tech needs, doing sound checks and assisting with putting microphones on contest contestants. AND they need help at other district events. Whether you want to help at convention, or make a longer-term commitment, this is the team for you. If your skills are not top notch, but this is something that interests you, don’t hesitate to volunteer. “On the job training” is available.
